Counterparty by details: photo or text → record in 1C
A new counterparty means typing the BIN, name, bank and IBAN by hand, while a pile of duplicates and records without details grows alongside. Our assistant reads the details from a photo or text, checks whether this BIN is already in the database and builds a ready record: all that is left is to confirm.
What takes time and spoils the database
- A new counterparty's details are typed into 1C by hand: BIN, bank, IBAN, address.
- The same counterparty is created twice: the database we checked had 44 groups of duplicates.
- 79 records have no BIN or IIN, and 17 more are placeholders that cannot be used for reconciliation.
- 702 counterparties (31% of the database) were left without a main bank account.
What it does
- Extracts the BIN or IIN, full and short name and entity type from a photo or text.
- Determines the bank, BIC and IBAN and parses the VAT certificate and address.
- Checks for a duplicate by BIN before creating: if the counterparty exists, it shows its record.
- Selects the bank by BIC and creates a new bank automatically if it is missing.
- Creates the counterparty and bank account and sets the account as the main one.
- Writes only a draft: the counterparty appears in the database after your confirmation.
- Keeps hygiene at the input: a record without a BIN and a main account does not go further.
How it works4 steps
-
You send the details
A photo of the company card, an invoice or just the text of the details. Claude extracts the BIN or IIN, full and short name, entity type, bank, BIC, IBAN, VAT certificate and address.
-
Duplicate check by BIN
The assistant searches for the BIN in the counterparty catalog by the identification code field. If there is a match, it shows the existing record instead of creating a new one.
-
A draft record is built
If the counterparty does not exist, a draft with the details is generated. The bank is selected by BIC, and if it is not in the database, it is created together with the record.
-
You confirm the entry
Save, Edit and Cancel buttons. Only after Save are the counterparty and bank account created, and the account is immediately set as the main one. The database does not change without your “OK”.
Result
Who it is for
- Companies with a constant flow of new suppliers and customers.
- Accounting departments tired of cleaning up duplicate counterparties and records without a BIN.
- Businesses that need BINs and bank data to stay out of external services.
Frequently asked questions3
How do you avoid duplicate counterparties?
Before creating one, the assistant searches for the BIN in the catalog by the identification code field. If such a counterparty already exists, it shows the existing record instead of creating a new one. That way the database does not fill up with copies.
What if the counterparty's bank is not in the database yet?
The bank is selected by BIC. If it is not in the catalog, the assistant creates the bank together with the counterparty record, so the bank account is filled in correctly and becomes the main one.
Is the record written to the database right away?
No. You see a draft with Save, Edit and Cancel buttons. The counterparty and bank account are created only after confirmation. The BIN and details stay in your perimeter.
