Reconciliations and ESF control: close 80% of problems before filing

Most problems at filing time are unreconciled balances and a lost VAT offset on an unrecorded ESF. The assistant runs three key reconciliations and matches the ESF information system register with the 1C journal, showing discrepancies in a table long before the form goes to the State Revenue Committee.

What surfaces at filing time

  • The data in 1C, the taxpayer account at the State Revenue Committee and form 300.00 or 100.00 do not match, and you notice it on the last day.
  • An incoming ESF is not recorded in the journal, and the VAT offset on it is quietly lost.
  • The bank balance does not match the card of account 1030 at month-end closing.
  • The product identifier for ESF is empty: issuing and the offset are at risk, and there are thousands of such items in the database.

What it does

  • Reconciles 1C with the taxpayer account at the State Revenue Committee and form 300.00 / 100.00 before quarterly filing.
  • Reconciles the bank statement with the card of account 1030 at month-end closing.
  • Checks tax accounts 3120, 3210 and 3230 after payroll is accrued.
  • Reconciles the ESF information system register with the 1C journal and catches unrecorded incoming ESF.
  • Tracks the ESF issuing deadline: 15 days as a general rule, 5 days for a non-resident (Art. 493 of the 2026 Tax Code of Kazakhstan).
  • Finds empty product identifiers for ESF across all items.
  • Collects discrepancies by counterparty and reconciliation statements into a table with statuses: matches, attention, error.

How it works4 steps

  1. Three scheduled reconciliations

1C ↔ taxpayer account at the State Revenue Committee ↔ form (300.00 / 100.00): before filing, once a quarter; bank ↔ card of account 1030: monthly; tax accounts 3120, 3210, 3230: after payroll is accrued.

  2. ESF control

The ESF information system register is reconciled with the 1C journal. An unrecorded incoming ESF is highlighted right away so the VAT offset is not lost. We also keep the deadlines in mind: 15 days for issuing, 5 days for a non-resident.

  3. Discrepancies in a table

Each item gets a status: matches, attention or error. Counterparty reconciliations and reconciliation statements are summarized the same way, so you can see exactly where things diverged.

  4. Analysis of causes and a draft

For a 1C ↔ taxpayer account ↔ form discrepancy the assistant suggests the likely cause and prepares the fix as a draft: nothing is written to the database without your confirmation.

Who it is for

  • Accountants under the general regime who file forms 300.00 and 100.00 every quarter.
  • Companies with a large flow of ESF where an incoming VAT invoice is easy to lose.
  • Those who want to close the month on reconciled balances instead of hunting for small change on the last day.

Frequently asked questions3

Why do 1C, the taxpayer account and the tax form disagree?

Usually for one of five reasons: a backdated change in 1C without an amended declaration; the amended declaration was not filed; the payment has not yet been credited by the State Revenue Committee (a 2–3 day delay); the money went to the wrong budget classification code (KBK) and needs to be transferred; the form was filed with an error. The assistant suggests which reason is most likely.

Why is an unrecorded incoming ESF so important?

Until an incoming ESF is recorded in the journal, the VAT offset on it is effectively lost, and that is real money. Reconciling the ESF information system register with the 1C journal shows such VAT invoices before filing.

What is an empty product identifier?

It is the item code for ESF. If it is empty, issuing the invoice and the offset are in question. In the database we checked, it was missing for all 13 186 items: the assistant finds such gaps at once so you can fill them in before issuing.
